What to establish before cancelling, and why the export question is easier to answer before the subscription ends.

Updated September 20, 2026

Ask for the export while you are still a customer

Access to a system is usually easier to obtain while the subscription is active. A data request made after cancellation depends on whatever the terms say about post-termination access, which is often less generous.

The practical move is to run the export and check it while the account is still open, rather than assuming it will be available later.

Check what the export actually contains

A folder of documents is not the same as a structured export that preserves matters, metadata, and history. What comes out decides how much of the firm's work has to be rebuilt by hand.

This is the portability half of the output question, and it is the reason each record carries a switching-cost note rather than only an ownership statement.

Plan for the period when both systems run

A migration that runs alongside the old system for a period costs more in the short term and fails less often. The overlapping window is where the firm checks that nothing was lost.

For an assistant embedded in a practice-management platform, the migration is the platform migration. The switching-cost note on those records says so directly.

Tell the vendor what you found

If a vendor page no longer matches a record, the corrections process is the way to fix it. Send the current page and the desk will re-check it against the published material.

Corrections are made against published material. A record is not changed on request alone, and it is not changed by payment.
